Nine admin processes automated with Microsoft 365

Bookings, onboarding, expiry tracking and reports: from copy and paste to reviewing results.

  • Power Automate
  • SharePoint
  • Power BI
  • SQL / Oracle

The problem

Bookings, employee onboarding, expiry tracking and performance reports were handled manually, with information scattered across email, Excel and individual documents.

The process, before and after

Before

  1. Each process is handled manually
  2. Information is scattered across emails, Excel and individual documents
  3. Every document or report means copying and pasting the same data again
  4. Expiry and approval reminders depend on someone remembering to check

After

  1. Flows trigger automatically for a new booking, a new employee or an approaching expiry date
  2. Power Automate runs the business rules: approvals, document generation, PDF conversion and calendar events
  3. SharePoint centralises documents and deadlines with automatic reminders
  4. Power BI displays shipment volumes, on-time performance and delay causes using prepared Oracle SQL views
  5. The team reviews dashboard results instead of rebuilding reports by hand every weekIn production
Before and after: each process, step by step.

How I built it

Several Power Automate flows in production: booking creation, changes and cancellations; employee onboarding with approval routing and automatic generation of 16 document types; weekly performance notifications; and expiry monitoring for insurance and HR paperwork. Power BI dashboards run on clean SQL views.

What I learned

Knowing when Power Platform is the right tool —business rules, approvals and reporting— and when to move to custom code —image-heavy workflows and complex interfaces— is part of the value. One tool cannot solve everything, and this same client demonstrates both sides of that decision.
